We’re excited to welcome our international colleagues to ASPEN26! If you’re traveling from outside the United States, please start your travel planning now! Many visitors will need a U.S. visa, and the process—including scheduling an in-person interview at a U.S. embassy or consulate—can take time.

Please follow the steps below when going through the visa application process.

Check Visa Requirements

Determine whether you need a visa to enter the U.S. for ASPEN26. If you are from a country participating in the Visa Waiver Program (VWP), you may not need a visa, but you will still need to apply for an Electronic System for Travel Authorization (ESTA) before traveling.

If you need a visa, please follow these steps:

1. Schedule Your Interview

ASPEN strongly suggests that all international travelers schedule face-to-face interviews as soon as possible. There is no required documentation to schedule your visa interview; you do not need to be registered, have a hotel reservation, or have a travel itinerary to make an appointment. Your appointment should take place after you register for ASPEN26.

2. Register for the Meeting

Before the scheduled visa appointment date, make sure that you are registered for the ASPEN26 conference. See registration information.

3. Request an Invitation Letter from ASPEN

To request an invitation letter from ASPEN, you must first register and pay in full for ASPEN26. Requests for invitation letters will only be accepted by fax or email. The following information must be included in your email message requesting a letter of invitation:

  • Postal Code
  • Your full name
  • Your company name
  • Your full mailing address including:
    • Street
    • City
    • Country

Request your invitation letter via email or fax 301-587-2365.

4. Attend the Visa Interview

With all required materials in hand, attend your visa interview as part of the visa application process.

Tips

  • Apply for your visa as early as possible.
  • Attaching evidence of your previous visits to the ASPEN Nutrition Science & Practice Conference may help the application processing time.
  • Attaching evidence of your intended return trip to your home country can shorten the application processing time.

If your Visa request is denied and you need to cancel your registration, please send proof of denial with your written cancellation request to [email protected] and your full payment will be refunded.
